School Trip Safety & Student Well-being on Tour
At GlobalEducationalTours.com, the safety and well-being of every student on tour is our highest priority. Meticulous planning, clear communication, and vigilant supervision are the cornerstones of every journey we plan.
Adult-to-Student Ratios
Recommended minimums — ratios must increase for overnight, international, or higher-risk activities
- School Employee Presence: At least one chaperone must be a school employee (teacher or administrator) fully familiar with district policies, emergency procedures, and student medical/behavioral records.
- Background Checks: All volunteer chaperones must clear required background checks and clearances as mandated by the school district.
- Gender Representation: Ideally at least one male and one female adult chaperone on every trip.
Before & During the Tour
Use this checklist to ensure all safety protocols are in place
| Category | Action Required |
|---|---|
| Pre-Trip Authorization | Secure all necessary school board and parent approval/consent forms. |
| Chaperone Management | Recruit, screen, and clear all chaperones. Verify minimum ratios are met. |
| Group Organization | Assign chaperone groups with defined student lists, contact information, and emergency protocols. |
| Student Protocol | Implement a mandatory buddy system — no student is ever alone. |
| Headcounts | Conduct regular headcounts before moving locations, boarding transportation, or before meals. |
| Medical Preparedness | Pack a fully stocked first aid kit. Assign all student medications and medical records to the school employee or nurse — not a parent volunteer. |
| Special Needs | Communicate all food allergies, medical needs, and special accommodations to chaperones and tour providers. |
| Emergency Procedures | Establish clear emergency contact procedures for the group, school, and parents. Ensure all chaperones have access to these numbers. |
| Supervision Rules | Never leave students unattended. Always accompany students into public restrooms while respecting student privacy. |
Maintaining a Safe Environment
Chaperones are the front line of student safety — these responsibilities are vital
Supervise assigned students at all times. Know where students are and what they are doing.
Strictly adhere to all school policies — no use of personal vehicles, no sharing of personal contact information or social media with students.
Limit distractions. Volunteer chaperones should not bring their non-trip children, as this detracts from primary supervisory duties.
All incidents — medical, behavioral, or safety concerns — must be reported immediately to the lead teacher or school employee. Chaperones should not handle discipline independently.
Maintain a positive attitude, communicate clearly with students and staff, and stay alert to surroundings and potential hazards at all times.
