Apps & tools

The whole school trip,
on one phone.

Before a Québec, New York or Washington D.C. departure, there is one app to install and a short list of settings to check. Today’s plan, the meeting point, the roll call, the group announcements and the emergency card all live on the phone. The day’s itinerary still opens when the signal drops, which happens inside museums more often than people expect.

  • Works offline. The day’s plan is cached on the phone.
  • iPhone & Android. One app, every traveler.
  • A person answers. A real tour operator, on call.

A day, screen by screen

Four moments that settle everyone’s nerves.

Scroll through a real day on tour. The phone keeps up.

  1. The day, in order

No printed sheet to lose. Every traveler opens the app and sees the same plan: departure times, what is included, when the free block starts. It is downloaded to the phone, so it opens in a stone-walled museum with no bars of signal.

    • Times, meals and meeting points in one list
    • Updates push through the moment a plan changes
    • Readable offline
  2. Roll call in half a minute

Standing outside a cathedral counting heads twice because you lost your place. That is the part of chaperoning nobody warns you about. Here, each chaperone taps their own list and the group total lands instantly.

    • One tap per student
    • Live total across every chaperone
    • Time-stamped, so there is a record
  3. One announcement, everyone

Weather turns, a train is late, dinner moves an hour. The group leader writes it once. It arrives on every traveler’s phone, and on the registered parents' phones at home, at the same moment. No forty-message thread to scroll back through.

    • Students and parents get the same words
    • Read receipts, so you know it landed
    • Parents don’t have to moderate at midnight
  4. The card you hope nobody needs

The emergency screen holds the 24/7 operator line, the tour director on the ground, the hotel and the room list, stored on the device. A real tour operator is on call for every departure, not a ticket queue.

    • Number saved on the phone, not in an inbox
    • Hotel address and room list travel with you
    • Someone answers at 2am
Before you fly

Nine things,
then you’re set.

Do these in the week before departure and the first morning abroad is boring, which is exactly what you want. Your ticks are saved on this device only; nothing is sent to us.

Signal, data & battery

"What happens when there’s no signal?"

The most common question we get, and a fair one. Here is the honest answer.

Works with no signal at all

  • The day’s itinerary and times
  • Meeting points and the walking route
  • Room lists
  • The emergency card and numbers

All of it is stored on the phone once the trip is downloaded. Airplane mode doesn’t empty the screen.

Needs a connection

  • Sending and receiving new announcements
  • Syncing a roll call to the rest of the team
  • Refreshing a changed itinerary

Hotel Wi-Fi is usually enough. Anything sent while offline queues up and goes the moment a bar of signal returns.

Roaming without bill shock

  • Call your carrier before departure, not at the gate
  • Compare a daily international pass with a data-only eSIM
  • Switch off background app refresh and auto-updates
  • Set a data warning on the student’s phone

Canada and the US are often included in a domestic plan. Europe and Costa Rica usually are not. Check.

Making the battery last

  • One power bank per traveler, in the day bag
  • Low-power mode from breakfast, not from 4pm
  • Download tomorrow’s plan on tonight’s Wi-Fi
  • Cold weather drains a phone. Keep it in an inside pocket

A dead phone is the real failure mode, not a weak network. Plan for the battery first.

A phone is a convenience, never the safety plan. Chaperones carry printed room lists and the emergency contacts too, and a tour director travels with the group.
