  1. Yes. Completely free, with no card on file. Building itineraries, comparing Québec with New York or Washington D.C., running an interest page and sharing quotes with families costs nothing.

You pay only once you confirm a departure and travelers begin their own payment plans. Up to that point every number on the page is a proposal you can change or walk away from.

  2. Four to six months for domestic and Canadian trips; eight to twelve for Europe and Costa Rica. That gives families a comfortable payment runway and gives you time to recruit.

Two departures are the exception: Québec Winter Carnival and the Washington, D.C. cherry-blossom weeks. Those groups book roughly eleven months out and still fill.

    Domestic 4–6 monthsInternational 8–12 monthsQuébec and D.C.: 11 months

  3. Eight clear steps, and you only commit at step four. Select a trip, review your costed proposal, recruit while you decide, accept the proposal, book, work through the payment schedule, hit the 60-day milestone, then final prep and departure.

Everything before acceptance is reversible. Everything after it is on a published calendar, so nothing arrives as a surprise.

Walk the eight steps in detail

  4. Yes. Customising is the normal path, not an upgrade. You can build an itinerary yourself in the portal or work through it with a travel specialist, swapping activities, nights and departure dates until the pricing and the learning outcomes both look right.

Your proposal shows pricing at several passenger tiers (for example 42, 37 or 32 students, each with the matching complimentary chaperone places) so you can see exactly what recruitment numbers do to the price before you commit.

  5. The number you show parents is the number they pay. Standard programs include transport (flights or motorcoach), accommodation, the listed meals, every activity on the itinerary, local guides, taxes and gratuities.

Optional extras (an insurance upgrade, a Broadway ticket) are always priced separately and clearly labelled as optional. Your exact inclusions are itemised on your Booking Agreement and invoice.

    Taxes includedGratuities includedExtras always separate

  6. Anything not listed on your invoice is not in the price. In practice that usually means travel insurance, passport and visa fees, souvenirs and personal spending money, and any meal not shown in your meal count.

We would rather over-explain this than have a family discover it at an airport. If a line item matters to you and you can’t find it on the invoice, ask us and we’ll confirm in writing.

  7. Yes, and they should. Each family gets their own account, their own scheduled payments and their own automated reminders.

Group leaders never handle money, chase a check or reconcile a spreadsheet. That single change removes most of the administrative pain teachers associate with school travel.

One account per familyAutomated remindersNo teacher bookkeeping

  8. Personal check or credit card, through each traveler’s own account. If you pay by check, the reservation isn’t complete until the check clears, so post it with a little room before the deadline.

Card payments are subject to the cancellation terms you accept at booking, including the chargeback clause in Section 17 of the Terms.

    See payment and chargeback terms

  9. One free place per ten paying students domestically and in Canada; one per twelve internationally. Groups over sixty receive an additional complimentary place.

Ratios recalculate automatically as your roster grows, so you always know how many adults you can bring without changing the student price.

    1 : 10 domestic & Canada1 : 12 international+1 over 60 travelers

  10. Only if the group falls below the minimum on your accepted proposal. If people cancel but the group stays at or above that threshold, nobody’s price moves.

If the group drops below it, the per-participant price may be adjusted upward to the revised passenger tier. If extra travelers join and you cross into a cheaper tier, the price can come down instead. Any adjustment appears on individual invoices with its own deadline.

Above threshold: no changeAdjustments shown on invoice

  11. That is exactly what the risk-free window is for. You gather non-binding interest first, adjust price or dates while changing costs nothing, and only confirm once the group is viable.

If the numbers never arrive, you decline the proposal and walk away with no financial obligation. You can change anything until the day you accept.

    How long is that window?

  12. $50 per participant for ground and motorcoach trips; $150 per participant when airfare is included. Deposits are collected after the organizer accepts the proposal, through each traveler’s own account.

Enrollment deposits are non-refundable once submitted, and the airfare deposit must reach us within 12 days of proposal acceptance to hold the quoted fare and schedule.

  13. 60 days before departure, for every trip. That date is on your invoice from the day you enroll.

If a balance is still outstanding, automated reminders go out at 70, 65 and 61 days. Three nudges before anything becomes a problem.

  14. On motorcoach trips usually yes; on airline tickets usually not. Airlines generally forbid name changes outright.

Where a carrier does allow one, a fee of up to $250 per ticket applies plus whatever the airline charges. Requests must be in writing at least 90 days before departure, and no name change at all can be processed within 65 days of departure.

  15. You call one number and a member of our operations team answers, not an outsourced call center.

Every departure has a named contact, a local backup operator and a documented plan for missed connections, illness and weather. The day before departure you receive direct contact details for the driver, tour leader, trip manager and guide, so nobody is hunting for a phone number in a crisis.

  16. We partner with Travel Insured International, and we strongly recommend coverage for every traveler. Tour operators are no longer permitted to buy insurance on a passenger’s behalf, so each family enrolls directly.

The base Student Protection Plan covers trip cancellation and interruption, travel delay, emergency medical expenses and evacuation, and baggage. Claims are handled entirely by Travel Insured International. We do not process or pay them.

  17. “Cancel For Any Reason” lets a traveler cancel for literally any reason and recover up to 75% of non-refundable trip costs, but it must be bought at the time of the initial deposit.

No qualifying event is needed, and the cancellation must be made no later than 48 hours before scheduled departure. CFAR is not available to residents of New York State, and additional costs and terms apply. If there is one deadline on this page worth writing down, it’s this one.

  18. Students share rooms, and we request that boys' and girls' rooms sit on separate floors. Hotels can’t always guarantee that layout, so we’ll tell you what you actually have before departure rather than after.

Hotels vary by destination and travel date. We reserve the right to substitute a hotel of similar quality in the same city, keeping your arrival and departure schedule intact.

  19. Every activity in the library is tagged by subject and level. Each itinerary exports a learning-outcomes summary you can attach directly to the proposal that goes to your principal or board.

Language departments can request additional immersion hours on any French or Spanish itinerary.

  20. A rough map: civics and U.S. history go to Washington, D.C., Gettysburg and Boston; the arts go to New York; French departments go to Québec, Montréal or Paris; science and sustainability go to Costa Rica.

Normandy suits twentieth-century history, and Italy and Norway open in the coming seasons. Filter the full catalogue by region on the homepage, or ask us and we’ll suggest three that fit your syllabus.

  21. Your exact meal count is printed on your invoice. That count is the contract.

On standard motorcoach programs the plan typically excludes first-day breakfast and lunch and last-day dinner, since travelers are in transit. So a 3-day trip normally includes six meals: two breakfasts, two lunches and two dinners, unless your invoice says otherwise. Dietary restrictions are confirmed around 90 days before departure.

3-day trip ≈ 6 mealsDietary needs confirmed at 90 days

  22. Your own school chaperones, plus a Global Educational Tours tour leader or local guide on most programs.

The day before departure you receive contact details for the driver, tour leader, trip manager and guide. Motorcoach carriers are DOT-approved and every itinerary is built to comply with FMCSA hours-of-service rules for drivers.

  23. Tell us at booking, in writing, and we’ll plan around it. Please read the limits honestly.

We communicate allergy information to every supplier; we cannot guarantee a 100% allergen-free environment, so travelers with severe allergies should carry their own food and medication. Travelers manage their own medications: medical supervision is not provided. For physical disabilities or medical conditions, notify us at the time of booking and we’ll make reasonable accommodations. Travelers do need to be able to walk moderate distances and manage stairs with their luggage.

  24. Obtaining and carrying the right documents is the traveler’s own responsibility, and it is the single most common avoidable problem.

Requirements depend on the destination and the traveler’s citizenship: passports, visas and any consent paperwork for minors. Anyone denied boarding or entry because of missing or incorrect documentation is not eligible for a refund, and we cannot cover costs or delays caused at a border. Start early. Renewals take longer than families expect.

  25. 30 calendar days from the day your proposal is issued. Twelve days when airfare is included, because fares move.

During that window you recruit participants with no deposit required and no financial obligation. At the end of it you either accept the proposal and move to enrollment, or decline it and owe nothing.

  26. Enrollment deposits are non-refundable, and unused components (a missed night, a skipped excursion) are never refunded. This is the honest reason we push insurance so hard.

With CFAR bought at deposit, a traveler can cancel for any reason at all up to 48 hours before departure and recover up to 75% of non-refundable costs. Without it, cancellation refunds follow the schedule in your booking agreement. Email canx@globaleducationaltours.com as soon as you know. Timing changes the outcome.
