Quick answers

The four questions everybody asks

Every figure below is copied from the agreement itself. Each card links straight to the clause that governs it — that clause, not this card, is the binding text.

Trip Organizer Agreement

These Terms & Conditions (“Agreement”) are made between MTH LLC and/or its brands and the Trip Organizer (teacher, group leader, school administrator, or authorized adult organizer), as well as all individual Participants (students, parents, guardians, and adult travelers). By accepting a Proposal, creating an account on Tango Travel Systems, or submitting a deposit, all parties agree to be bound by the terms herein.

The Trip Organizer is responsible for:

  • Reviewing and accepting this Agreement on behalf of the group.
  • Communicating all deadlines, policies, and requirements to individual participants.
  • Ensuring all participants are aware of and have agreed to these terms.
  • Collecting and submitting participant information, rooming lists, and required documentation by the deadlines specified.

The Risk-Free Proposal & 30-Day Enrollment Period

Key clause

MTH LLC and/or its brands offers Trip Organizers a risk-free enrollment window before any commitment is required. The process works as follows:

3A – Itinerary Selection & Proposal

Trip Organizers may browse, select, and customize an itinerary through the Tango Travel Systems portal or with the assistance of an MTH LLC and/or its brands Travel Specialist. Once an itinerary is configured, MTH LLC and/or its brands will generate a Pricing Proposal based on projected passenger tiers (for example: 42 students, 37 students, or 32 students, each with proportional complimentary chaperones). The Proposal will clearly display pricing at each passenger threshold.

3B – The 30-Day Risk-Free Enrollment Window

Upon issuance of the Proposal, the Trip Organizer has 30 calendar days to recruit participants and confirm enrollment. During this period:

  • No deposit is required from the Trip Organizer or individual participants.
  • Vendors and inventory are held on a preliminary basis.
  • MTH LLC and/or its brands’ free Recruitment Tool is available to assist with participant outreach.
  • The Trip Organizer may modify the itinerary and request revised pricing.
  • No financial obligation exists on the part of the Trip Organizer or participants.

At the end of the 30-day window, one of the following occurs:

  • If the Trip Organizer accepts the Proposal: vendor holds are confirmed, and the deposit collection period begins (see Section 4).
  • If the Trip Organizer does not accept the Proposal: the Proposal expires automatically. All vendor holds are released. No fees are charged.
  • If enrollment numbers fall below the minimum threshold (e.g., below 32 students): the Trip Organizer may request a revised Proposal at the next pricing tier, or may decline without penalty. No deposits will have been collected during the risk-free period.

Important: Once the Trip Organizer formally accepts the Proposal (via digital acceptance in Tango Travel Systems or written confirmation), the trip becomes an active Booking, and the cancellation and refund policies in Section 6 apply.

Deposits, Payments & Payment Schedule

Key clause

4A – Enrollment Deposits

Upon Proposal acceptance, individual participants will be invited (via automated email from Tango Travel Systems) to create an account and submit their enrollment deposit. Deposit amounts are as follows:

Ground / Motorcoach Trip $50 per participant · Non-Refundable
Trip with Airfare Included $150 per participant · Non-Refundable

Enrollment deposits are non-refundable once submitted. The airfare deposit must be received within 12 days of Proposal acceptance in order to secure the quoted airfare and schedule.

4B – Payment Methods

Payments may be made by:

  • School check payable to Maple Travel Holdings LLC
  • Visa, Mastercard, American Express, or Discover (credit or debit)
  • PayPal (via secure Tango Travel Systems portal)
  • Online at your Tango Travel Systems trip portal
  • By phone at 1-802-377-3311

Personal checks: the reservation is not considered complete until the check has cleared. Credit card payments: by submitting payment, cardholders agree to these Terms & Conditions and expressly waive all chargeback rights for services rendered or bookings subject to non-refundable cancellation policies, as further detailed in Section 17 of this Agreement.

4C – DIY vs. Assisted Bookings

MTH LLC and/or its brands accommodates two booking pathways:

  • DIY (Do-It-Yourself): Trip Organizers build and manage their itinerary, recruit participants, and process payments independently through the Tango Travel Systems self-serve portal.
  • Assisted Bookings: Trip Organizers work directly with an MTH LLC and/or its brands Travel Specialist who manages the itinerary, proposals, and booking coordination on their behalf.

All bookings, regardless of pathway, are subject to the same terms, deadlines, and cancellation policies contained herein.

4D – Final Payment & Deadline

Final payment for all trips is due 60 days prior to departure. Participants will receive automated reminders from Tango Travel Systems at the following intervals if their balance remains outstanding:

  • 70 days before departure
  • 65 days before departure
  • 61 days before departure

Failure to submit final payment by the 60-day deadline may result in: cancellation of the participant’s reservation, forfeiture of all deposits and payments made to date, and a $50.00 reinstatement fee if the participant wishes to rejoin the trip (subject to availability). No services will be initiated, confirmed, or provided for any participant with an outstanding balance at the 60-day deadline.

Price Adjustments Based on Participant Numbers

All group pricing is based on a minimum number of paying participants. If individual participants cancel after the Booking is confirmed but the group remains at or above the minimum threshold, individual trip prices will not be affected.

If cancellations reduce the group below the minimum threshold, the per-participant price may be adjusted upward to reflect the revised passenger count, as outlined in the accepted Proposal. Conversely, if additional participants join and the group surpasses a lower-cost threshold, the per-participant price may decrease accordingly.

Pricing Example:

Passenger CountPer-Person PriceNotes
42 Students$933 / personBase tier (maximum group)
37 Students$957 / personMid tier
32 Students$987 / personMinimum tier

Example: If 3 students cancel and the group drops from 42 to 39, pricing adjusts to $957/person for all remaining participants.

Price adjustments will be reflected on individual participant invoices and must be paid by the applicable deadlines.

Travel Insurance

Key clause

Travel insurance is strongly recommended for all participants on all MTH LLC and/or its brands programs. Tour operators are no longer able to purchase travel insurance coverage on behalf of their passengers; however, Maple Travel Holdings has partnered with Travel Insured International to provide coverage options. We recommend the Cancel For Any Reason (CFAR) coverage, as it allows passengers to cancel and receive 75% of their trip cost if they cancel for absolutely any reason.

7A – Student Protection Plan (Basic Coverage)

The Student Protection Plan is a base-level travel insurance option available through Travel Insured International. It provides pre-departure and post-departure coverage for trip cancellation, trip interruption, travel delay, medical expenses, and emergency evacuation. This plan covers unexpected, qualifying events that prevent or interrupt travel.

7B – Cancel For Any Reason (CFAR) Coverage

CFAR is MTH LLC and/or its brands’ recommended supplemental coverage upgrade. It allows a participant to cancel for absolutely any reason — no qualifying event required — and receive up to 75% of their non-refundable trip funds back. Key conditions:

  • CFAR must be purchased at the exact time of the initial enrollment deposit. It cannot be added to an account after the deposit is submitted.
  • CFAR coverage is not available to residents of New York State.
  • CFAR is not available for day trips unless specifically arranged.
  • To utilize CFAR, the cancellation must be submitted at least 48 hours prior to scheduled departure.

All insurance claims must be submitted directly to Travel Insured International. MTH LLC and/or its brands does not process, manage, or pay out insurance claims.

MTH LLC and/or its brands reserves the right to make reasonable adjustments to confirmed itineraries due to unforeseen circumstances, safety considerations, vendor availability, or logistical requirements.
